The customer

CliniSync

CliniSync, Ohio’s only health information exchange (HIE), needed an integration solution that is as scalable, flexible, and future proof as the work they do. Serving a wide range of healthcare organizations across the state, CliniSync is at the center of efforts to securely connect hospitals, providers, and public health agencies.

With growing data demands and increasingly complex use cases, CliniSync recognized the need to modernize its integration infrastructure. Their existing system was becoming a bottleneck to innovation and operational efficiency. The team sought a solution that could support real-time interoperability, reduce internal strain, and enable them to focus on what mattered most: improving health outcomes across Ohio.

The challenge

A legacy system limited flexibility, efficiency, and collaboration

Before moving to Rhapsody, CliniSync operated on a legacy, on-premises integration engine that created significant operational strain. Interface developers and application analysts were also responsible for system administration, which diluted focus and made it difficult to efficiently scale or optimize resources. The platform’s rigid architecture placed constraints on how interfaces were built, often forcing teams to design around technical limitations rather than aligning with clinical or business needs. Additionally, the system required a proliferation of interfaces to handle different data types and volumes—such as Continuity of Care Documents (CCDs)—which introduced unnecessary complexity and created operational silos that limited collaboration across teams.

The solution

Migrating to Rhapsody

CliniSync’s primary objective was to shift to a cloud-hosted integration engine that could:

  • Scale effortlessly without local hardware constraints.
  • Unify development and support workflows.
  • Handle diverse and high-volume data formats with ease.
  • Enable business-driven interface development.

The Rhapsody team began by scoping the project to identify and analyze every interface and transformation required for migration. This helped quickly break down a large, complex project into actionable milestones and dependencies, streamlining project management and execution. Leveraging the Auto Migrate tool, this process took the Rhapsody team 1 day – even for CliniSync’s 440 interfaces.

“It was impressive how quickly they were able to break it down from a very large project into smaller pieces that are easy to quantify.”

Even when unplanned changes emerged, the Rhapsody team kept the timeline intact and minimized disruption by turning around new solutions and resolving challenges within 24–48 hours.

The results

Streamlined interfaces, unified workflows, and scalable architecture

By migrating to Rhapsody, CliniSync reduced interface volume by 90% for key use cases like CCD processing, consolidated 25 error queues into one, and streamlined operations across teams – without losing functionality. Modernizing their integration environment enabled faster builds, fewer escalations, and a scalable foundation ready to support future innovation.

These results came to life across four critical dimensions:

Operational Efficiency and Interface Simplification

Rhapsody enabled a dramatic reduction in the number of interfaces needed for specific use cases – enabling more straightforward maintenance. For example, where the previous system required 10 separate workflows for handling CCDs, Rhapsody handled the same workload with just one.

Unified Dashboards and Fewer Escalations

Rhapsody’s all-in-one platform provided real-time dashboards and a centralized error queue, enabling both developers and support staff to troubleshoot from the same environment. This visibility improved collaboration, reduced escalations, and empowered teams to resolve more issues without escalating.

“We used to have 25 different error queues. Now we have one. That consolidation alone has been huge.”

Seamless Scalability for Future Use Cases

Whether it’s FHIR, HL7, XML, or future data formats, Rhapsody’s data-agnostic engine gives Clinisync the confidence to support any integration need. The platform’s performance with data-heavy interfaces ensures that architectural concerns no longer impede innovation.

“Rhapsody gives us the flexibility to work with any data format—FHIR, HL7, or otherwise—without adding complexity. That level of adaptability is key to supporting future use cases at scale.”

Standardized, Reproducible Workflows

With the Rhapsody architecture, CliniSync now uses a single, seamless data harness and reproducible templates across workflows. This not only saves time but also accelerates onboarding and enables consistent builds.

Collaboration and Support Experience

More than support: Rhapsody is a true extension of the team

CliniSync valued Rhapsody’s Professional Services and Support teams for their deep expertise, responsiveness, and collaborative spirit. From the earliest planning stages through implementation and optimization, Rhapsody’s teams acted as true partners—not just vendors—working alongside CliniSync to solve challenges and build sustainable workflows.

The teams translated complex integration concepts into approachable, actionable steps, enabling internal staff to become more self-sufficient. This knowledge-sharing approach empowered junior analysts and reduced CliniSync’s reliance on escalations or external intervention over time.

“They come to the table with a lot of expertise and can simplify complex workflows so anyone—even a first-year analyst—can understand and build with them.”

In addition to technical collaboration, CliniSync migrated with confidence, knowing they have ongoing support that is invested in their success. Whether troubleshooting issues or planning for future growth, Rhapsody’s teams were seen as an extension of CliniSync’s own team—bringing not just solutions, but confidence and peace of mind.

CliniSync’s Advice for Other HIEs Considering Migration

CliniSync recommends that any organization embarking on a similar journey keep a tight grip on the evolution of their project scope. Tracking deltas, or the changes between the original and current statements of work, helps ensure a smoother transition between environments.

For CliniSync, Rhapsody delivered far more than a technical upgrade. It represented a strategic leap that brought clarity, agility, and unity to their integration operations. With Rhapsody in place, they are well-positioned to grow, scale, and innovate with full confidence that their data infrastructure can keep pace with evolving demands.

“Rhapsody really took the stress out of the unknown. No matter what new challenge came our way, whether it was a different data format, a new workflow, or a new partner, we knew we had the right tools and the right support to manage it. That level of confidence has been a game changer.”
